Job Summary

The Administrative Event Specialist is an integral part of operations in the College Events team. They will interact with customers to provide general information and troubleshooting. They will provide administrative support to the College Events Team and work with the Colorado College and Colorado Springs community to ensure event success. This position will be scheduled to work an average of 20 hours/week and will not work more than 1000 hours in a year.

Responsibilities

  • Enter details, logistics and service orders into Momentus and StarRez.

  • Assist with data entry and administrative tasks.

  • Assist with events.

  • Create and order event materials like nametags, registration lists, event briefs, and décor as needed.

  • Assist with venue management.

Minimum Qualifications

  • High school diploma or GED; minimum 18 years of age.

  • In depth knowledge of software and data entry systems to include Outlook, Microsoft Office, Teams, and Adobe Sign.

  • Excellent organizational and customer service skills.

  • Excellent oral and written communication skills.

  • Ability to recognize and troubleshoot issues, think critically and solve problems, work well under pressure, and support the needs of others.

  • Ability to operate a variety of office equipment (computers, copiers and phones).

  • Ability to work independently and handle multiple demands and variable workload.

  • Ability to learn and effectively apply institutional and departmental policies, procedures and protocols and to follow safety and security guidelines and exercise good judgement.

  • Ability to treat confidential and sensitive information appropriately.

  • Willingness and flexibility to work mornings, evenings, weekends and holidays as needed and communicate with supervisors to work around personal obligations and advocate for time off as needed.

  • Ability to stand for prolonged times and lift up to 50 pounds.

Preferred Qualifications

  • Familiarity and experience with Momentus and StarRez

Anticipated Hiring Salary Range:

  • $16.00 to $18.00 per hour
