Job Summary

The Legal and Compliance Specialist provides essential administrative and coordination support to the College’s legal and compliance functions, playing a key role in litigation‑ and investigation‑related work by helping organize records, track matters, and maintain accurate documentation under direction. This role supports the College’s policy governance efforts by assisting with routine policy updates, record keeping, and distribution to ensure policies and procedures remain current, accessible, and well‑organized. Working closely with senior leaders—including the VP/CFO and other administrators—the Specialist supports legal and compliance initiatives by coordinating information, tracking deliverables, and facilitating clear communication for institution‑wide projects.

Responsibilities

  • Litigation and claims support: 
    • Provide administrative and logistical support to claims attorneys by assisting with investigations and claims development.
    • Support document management activities, including organizing files, maintaining records, and assisting with document creation and preservation under direction.
    • Help compile materials for responses to discovery requests and public records disclosures as instructed.
    • Receive and route third‑party requests for information and subpoenas to appropriate parties.
    • Assist with the preparation of standard legal documents and case materials using established templates and guidance.
    • Support counsel and college staff with meeting and hearing preparation activities, such as assembling exhibits and coordinating logistics.
  • Policy & compliance support:
    • Generate, prepare, and submit compliance documentation to government agencies and regulatory bodies in accordance with applicable requirements and deadlines.
    • Conduct routine compliance reviews and investigations to identify, document, and resolve standard compliance issues in collaboration with appropriate stakeholders.
    • Draft, update, and modify College policies and procedures to ensure alignment with legal and regulatory requirements, utilizing established compliance standards and guidance.
    • Monitor changes in laws, regulations, and institutional policies and assess impacts on college compliance obligations.
    • Maintain accurate records related to compliance activities and provide guidance on compliance practices and procedures to support consistent institutional adherence.
  • Legal affairs administration and project support:
    • Support legal affairs activities by assisting with the intake, organization, and tracking of contracts, MOUs, NDAs, and other legally binding agreements under established procedures.
    • Support coordination with campus stakeholders and route documents to legal counsel or outside counsel as directed.
    • Assist with assigned legal affairs projects by performing routine administrative tasks, including scheduling, document preparation, and status tracking.
    • Provide support for immigration‑related administrative processes, notary services, and basic legal research by gathering information from established sources and templates.
    • Maintain organized records and documentation related to legal affairs activities.

Minimum Qualifications

Demonstrated skills, competencies, and knowledge required for this job are most often acquired through the following practical experience and level of academic education and training.

  • Bachelor’s degree in a related field
  • 3 years of experience in a related field

One year of relevant work experience may be substituted for one year of required education (OR) one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.

Anticipated Hiring Salary Range:

  • $27.38 to $32.86 per hour
