Job Summary
Join our team as the Assistant Manager, Patron Services, where you’ll play a pivotal role in delivering exceptional hospitality and customer service to every visitor. In this dynamic position, you will process sales for museum admissions, performing arts and event tickets, theatre season subscriptions, and memberships, ensuring each transaction is handled with professionalism and care.
As a key leader, you’ll step in for the Patron Services Manager when needed, providing guidance and support to the Patron Services team to maintain the highest standards of customer care. Your commitment to creating memorable experiences will help foster a welcoming environment for patrons and members alike.
Responsibilities
- Greet visitors immediately and in a friendly manner, and always strive to achieve our overarching goal of superior visitor experiences, every time, for patrons and members of the FAC.
- Manage patron needs as they arise, and handle patron issues in a professional, caring, always respectful and diplomatic manner; exercise good judgment in identifying solutions in-the-moment to individual situations, questions and circumstances; respond to elevated issues and patron complaints.
- Work as on-duty manager in the absence of the Patron Services Manager, particularly on weekends and evening shifts; supervise Patron Services staff, resolve customer inquiries and complaints and ensure front desk operations run smoothly.
- Assist Patron Services Manager with training, hiring, and scheduling Patron Services team.
- Support House Management and serve as back-up House Manager as needed.
- Maintain current knowledge about FAC events and programs and informing patrons of information related to all programs and events.
- Process over-the-counter museum admission for walk-up visitors, and guide patrons through our map, informing them of museum policies and guidelines.
- Sell theatre tickets over the phone and in person; ship theatre tickets and subscriptions; organize and distribute Will Call tickets on the day of a performance.
- Collect RSVPs for all FAC events over the phone, via email, and in person; manage check-in for member openings, lectures, Free Days, and all other FAC events.
- Perform data entry of events into the FAC Patron Manager database; manage event details in collaboration with other FAC departments responsible for event planning (museum, theatre, school, marketing, development).
- Coordinate distribution of reports of transaction and event attendance, revenue, and other key performance reporting.
- Answer main FAC phone line, manage transactions over the phone, and transfer calls internally as appropriate; monitor front desk voicemail and main FAC e-mail to respond to patron questions, needs and inquiries.
- Promote memberships, subscriptions, and all facets of the FAC.
- Manage cash, maintain a balanced cash box, and execute opening/closing monetary procedures; run reports, reconcile end-of-day sales, and communicate with Finance to account for what revenue goes to which department.
- Provide input to Patron Services Manager and other internal staff about trends and visitor comments, processes and efficiencies, and opportunities for enhanced hospitality offerings.
- Occasionally participate in meetings with communication, patron experience/security, operations and program areas (theatre, museum and Bemis) to ensure efficient and effective cross-departmental coordination.
- Actively support the college’s commitment to be an antiracist institution by understanding, engaging with, and promoting diversity, inclusion, and equity in the college community.
- Promote a culture of safety and environmental protection by working in a safe manner; immediately reporting unsafe situations and accidents; following college procedures; and participating in appropriate safety training.

- Perform other duties as assigned.
Minimum Qualifications
- High school diploma plus a minimum of two years of experience in a customer-focused, point-of-sale (preferably ticketing) operation in a busy, medium- to large-scale theatre and or museum
- Ability to provide enthusiastic and customer-focused service
- Previous supervision experience
- Proficient money handling and basic accounting skills
- Excellent verbal and written communication skills
- Ability to communicate effectively and develop positive relationships with people from different cultural backgrounds
- Proven talents in providing superior hospitality
- Strong customer service transaction skills
- Exceptional attention to detail and commitment to follow through
- Ability to handle multiple responsibilities and set priorities
- Highly accountable, reliable, professional and diplomatic
- Customer relationship management (CRM) database experience
- Ability to consistently work on weekends and evenings on a regular basis
Preferred Qualifications
- Some college or Associate’s degree, arts and culture experience, Patron Manager (Salesforce) database experience.

Anticipated Hiring Salary Range:
- $19.10 to $22.44 per hour
