Job Summary

The Events Budget Manager plays a critical role in ensuring the financial success of the college’s events operations. This position provides strategic leadership, in-depth analysis, and accurate reporting to develop and manage complex budgets for multiple event departments. Serving as a trusted advisor, the manager supports the Assistant Vice President of College Events and collaborates closely with event staff to align financial planning with organizational goals. Acting as a key liaison between the Events Office and Finance, Payroll, and Human Resources, this role ensures seamless communication and compliance across departments while driving efficiency and fiscal accountability.

Responsibilities

  • Primary representative for the main events telephone and email box; answer questions, providing informed referrals for campus, community, parents, and students; arrange tours of event space with appropriate event staff. Manage the events central email.
  • Work with Assistant Vice President for Events and Associate Directors of Internal and External Events on departmental budget and approval process, year-end reconciliation and annual reports.
  • Manage the weekly event team’s agenda and event staff scheduling; strategically organizes and manages the overall events calendar and the Presidential event briefings to keep the events office on time.
  • Assist the Associate Director of Events in expense and revenue projecting and reporting, collection and distribution of revenue, and contract management; identify efficiencies in costs and business operations.
  • Manage processing of payments, deposits, cash advances, journal entries, and travel reimbursements; invoice clients, reconcile budgets, and p-card reconciliation for the events team.
  • Serve as the back-up to the Assistant Director, Campus Planning/Scheduling & Events Database Administration.
  • Assist with college events as needed and help maintain efficiency, customer service and the integrity of the department.

Minimum Qualifications

  • Bachelor’s degree (or equivalent combination of education and experience) plus a minimum of 3 years related experience to include 3 years as an executive assistant, progressively responsible experience in managing administrative and financial operations, exceptional administrative, organizational, human relations and technical skills.
  • Ability to develop strong working relationships with people from different cultural backgrounds.
  • Ability to work independently and demonstrate a high level of resourcefulness and professionalism advanced proficiency in Microsoft suite, excellent oral and written communication skills; demonstrated ability to handle confidential/sensitive information with discretion; excellent organizational and customer service skills; ability to handle multiple demands and workload; flexibility to work evenings and weekends as needed

Preferred Qualifications

  • Proficiency and/or familiarity with Momentus, Banner. Monday.com and When to Work software; experience working in higher education.

Anticipated Hiring Salary Range:

  • $22.63 to $27.16 per hour
