Job Summary

The Development Specialist is a central connector within Advancement, supporting the Associate Vice President for Development and multiple fundraising teams through high‑level administrative expertise. This role helps drive the success of Development, Annual Giving, Corporate & Foundation Relations, the Fine Arts Center, Major Gifts, Planned Giving, and Prospect Management by coordinating projects, communications, budgets, travel, meetings, reporting, and data with accuracy and professionalism.

Responsibilities

  • Provide administrative support for the Associate Vice President for Development.
  • Assist in drafting, writing, editing, updating, and tracking Activity Reports, Prospect Lists, Opportunities, and Grants for the entire department.
  • Organize logistics for, and provide accurate and timely recording of, Development activities, including activity reports, gift documentation, and direct communications between internal and external stakeholders.
  • Assist in the completion of data-driven research, donor prospecting, and gift officer portfolio hygiene reviews.
  • Collaborates with the Donor Relations Office, Annual Giving team, and Planned Giving team on Donor Recognition Societies’ engagement and specialized impact reports.
  • Work with Fine Arts Center on data evaluation and documentation of FAC development activities to allow for efficient and accurate recording across platforms.
  • Develop, prepare, and analyze custom CRM data reports to support the ever-evolving needs of the Development teams.
  • Serve as Salesforce CRM specialist and liaison between Advancement Operations team and Development team on Salesforce processes and procedures.
  • Manage, monitor, organize and assume responsibility for the Development operating budget. Includes preparing and executing Concur invoices, staff expense reimbursements, Adobe Sign journal entries, supply orders, requisitions and purchase orders, and p-card reconciliation.
  • Submit and monitor Facilities, Maintenance, and IT work orders for departmental needs.
  • Provides administrative support for departmental hiring efforts, including search committees, interview processes, and on-boarding/off-boarding of department staff.
  • Organizes logistics for constituent relationship activities, including outreach, cultivation, solicitation, and stewardship.
  • Develop and maintain a departmental Standard Operating Procedures document for the offices of Development, Annual Giving, Corporate & Foundation Relations, Major Gifts, Planned Giving, and Prospect Management teams in collaboration with their respective team members.
  • Uphold a high-level of confidentiality and professionalism in all aspects of work while collaborating with a variety of diverse internal and external stakeholders.

Minimum Qualifications

  • Associate’s degree and a minimum of three years of related experience (or an equivalent combination of education and experience)
  • A problem-based, systems thinker; proficient writer; skilled mind for data and technology; excellent customer service skills and oral communication
  • Outstanding organizational skills
  • Ability to think critically and solve problems with a positive outlook
  • Availability for occasional schedule changes to include weekend or evening hours as needed
  • Experienced in computer software programs such as Microsoft Office Suite (Word, Excel, Outlook) and experience pulling reports from various databases
  • Strong editing skills
  • Excellent interpersonal communication and telephone skills
  • Ability to handle multiple tasks simultaneously
  • Ability to operate standard office equipment

Preferred Qualifications

  • Bachelor’s degree plus experience in fundraising and/or the non-profit sector.

Anticipated Hiring Salary Range:

  • $20.75 to $24.69 per hour
