Job Summary

The Administrative Assistant, Residential Experience supports the day‑to‑day operations of Residential Experience by managing P‑card transactions, processing departmental finances, assisting with budget planning, coordinating projects, and providing general administrative and clerical support.

Responsibilities

  • Serve as first point of contact for visitors, answer phones, schedule appointments and interviews, make travel arrangements, order office supplies, sort and distribute office mail, maintain filing systems and databases, and respond to email.
  • Co-Supervise Housing Student Assistants working within Residential Experience Central Office; approve all Residential Experience student time sheets.
  • Coordinate the Residential Experience central office reception responsibilities, providing accurate policy and process information to both internal and external customers, while performing functions related to administration, operations, maintenance, and finance. Submit work orders for maintenance and facilities services utilizing TMA.
  • Provide direct administrative assistance to the Director of Housing & Residential Experience, Assistant Director of Housing Operations, and Assistant Directors of the Residential Experience.
  • Prepare and track invoices, financial records and reports, budget expenditures, purchase orders.
  • Maintain and record accurate lists and data related to housing rates, damage billing, central office practices and processes, campus and student notifications, staff meetings, and spreadsheets as needed.
  • Assist with housing assignments, faculty housing, and housing selection processes as needed.
  • Manage central office inventory control systems, including master keys, faculty apartment key inventories, student files, and archived data.
  • Serve as a referral agent for campus and community resources such as Health & Wellbeing. Counseling Center, Financial Aid, and Campus Safety.
  • Perform other duties as assigned.

Minimum Qualifications

  • High school diploma plus a minimum of three years of related work experience;
  • Ability to work independently, accurately, and with discretion;
  • Ability to work in a fast-paced environment with timelines and be able to navigate shifting priorities with ease;
  • Previous customer service experience, and excellent written and verbal communication skills;
  • Intermediate to advanced level of computer proficiency in Microsoft Office Suite, ability to learn new databases and software.

Preferred Qualifications

  • Bachelor’s degree in a related field;
  • Experience working in housing operations and/or residential life services, experience utilizing various student housing, admin, and management systems including, StarRez, Banner, Maxient, Momentus, CS Gold, Slate, Concur, Catertrax, Qualtrics, TMA, and various office machinery.

Anticipated Hiring Salary Range:

  • $20.75 to $24.69 per hour
