Job Summary

Provides essential support to the Registrar's Office at Colorado College, assisting with the management, maintenance, and accurate processing of student academic records. This position plays a key role in coordinating academic record-related functions, including the processing of student registrations, transcripts, and enrollment verifications.

Responsibilities

Student Records Management:
• Maintain and update student records in the college's student information system (SIS), ensuring data accuracy and compliance with institutional policies and federal regulations (FERPA).
• Process student enrollment, withdrawal, and course drop/add requests in a timely and accurate manner.
• Coordinate student records for specialized student admits.
• Coordinate with the preparation and distribution of official academic transcripts and diploma replacement, enrollment verifications, and other student records requests, including recording approved transfer credit.
• Manage and create independent and thesis courses based on student applications; work with faculty and program heads to ensure accuracy of course creation.
• Support the Registrar in ensuring the integrity of student data by conducting periodic audits and maintaining up-to-date records.

Administrative Support:
• Provide general administrative support to the Registrar’s Office, including filing, data entry, and document management.
• Assist with the processing of graduation applications and verify that all academic requirements have been met for degree conferral.
• Support in the preparation of end-of-term reports and assist with data collection for institutional assessments and accreditation purposes.
• Serves as primary support to the Services & Curriculum Management Coordinator.

Customer Service and Communication:
• Serve as a point of contact for students, faculty, and staff regarding academic records and registration concerns.
• Provide excellent customer service and assist in resolving any issues or questions related to student records in a professional and efficient manner.

Minimum Qualifications

High School graduate; minimum of two years related work experience or equivalent education; proficient with computer software programs such as Microsoft Office (Word, Outlook, Excel); excellent oral and written communication skills; ability to communicate effectively and develop positive relationships with people from different cultural backgrounds; ability to think critically and solve problems; good judgment and ability to handle confidential/sensitive information with discretion; excellent organizational and customer service skills; ability to operate standard office equipment.

Other Position Details:

  • Does not supervise others
  • Position will not drive CC vehicles

Anticipated Hiring Salary Range:

  • Band B; $19.25 to $22.10 per hour
