Job Summary

The Administrative Assistant provides administrative, financial, and operational support for the Office of Global Education & Field Study. The position supports students, faculty, and staff through front office operations, financial processing, communications, database management, student employment support, and logistical coordination for off-campus and global education programs.

Responsibilities

  • Office Administration
    • Serve as the primary administrative support for the Office of Global Education & Field Study.
    • Greet visitors and assist students, faculty, staff, and external partners.
    • Answer phones, monitor office email accounts, and respond to general inquiries.
    • Coordinate calendars, meetings, and office logistics.
    • Maintain office records and filing systems.
  • Program Support
    • Assist with logistical support for Block Away courses, semester programs, and international travel.
    • Maintain participant records.
    • Support travel documentation processes.
    • Coordinate program materials and mailings.
  • Technology and Data Management
    • Maintain Summit application systems.
    • Assist with website updates.
    • Maintain student records and databases.
    • Prepare reports as requested.
  • Student Employment
    • Coordinate hiring paperwork.
    • Assist with payroll and scheduling.
    • Support supervision logistics for student employees.
  • General Responsibilities
    • Participate as an active member of the GEFS and EE@CC teams.
    • Support diversity, equity, inclusion, and belonging initiatives.
    • Promote workplace safety and sustainability.
    • Perform other duties as assigned.

Minimum Qualifications

  • Two years college/Associate’s degree or equivalent work experience plus a minimum of three years of office/clerical experience to include either web design/management or database management/analysis
  • Proficiency with Microsoft Office, Adobe Publisher, and web design software
  • Excellent oral and written communication skills
  • Ability to communicate effectively and develop positive relationships with people from different cultural backgrounds
  • Basic data analysis skills; budget management/analytical skills
  • Ability to think critically and solve problems; good judgment and ability to handle confidential/sensitive information with discretion; good organizational and customer service skills
  • Effective time management skills
  • Ability to operate standard office equipment

About Us: Colorado College (“CC”) is a private, four-year, highly selective liberal arts college of 2,100 undergraduate students and a small Master of Arts in teaching program. It is located on a 99-acre campus adjacent to downtown, ‘Olympic City’, Colorado Springs. The campus sits on the Front Range of the Rocky Mountains at the foot of Pikes Peak. The college operates an innovative curricular approach, known as the Block Plan, which entails students taking one course at a time for three and a half weeks, with the academic year divided into eight “blocks.” The Colorado College Department of Athletics sponsors 17 varsity programs. Fifteen programs compete at the NCAA Division III level and two at the Division I level. Division III programs are members of the Southern Collegiate Athletic Conference (SCAC), with the exception of Men’s Lacrosse (independent) and Women’s Lacrosse (WIAC affiliate). Division I Men’s Hockey is a member of the National Collegiate Hockey Conference (NCHC) and Division I Women’s Soccer competes as an affiliate member of the Mountain West Conference (MWC). The purpose of this role is to provide education, independent health care, and preventative services for our varsity student-athletes, coaching staff, and members of the Athletic Department.
