Job Summary

The Academic Administrative Assistant provides comprehensive administrative, operational, financial, and programmatic support for the Film and Media Studies Department. Serving as the primary point of contact for students, faculty, staff, and visitors, this position coordinates departmental operations, academic scheduling, faculty personnel processes, event logistics, and financial administration. The role supports the successful delivery of academic programs, faculty initiatives, and departmental events through effective organization, collaboration, and stewardship of departmental resources while fostering a welcoming and professional environment.

Responsibilities

  • Department and Academic Administrative Support:
    • Serves as a point of contact for students, faculty, staff, and visitors by responding to routine inquiries and directing questions to the appropriate individual or office.
    • Provides day-to-day administrative support for departmental office activities and helps maintain a welcoming and professional environment.
    • Assists with classroom scheduling, course listings, and academic catalog updates by gathering, entering, and maintaining information as directed.
    • Provides administrative and logistical assistance for visiting faculty, including processing employment documents, arranging travel, preparing orientation materials, and supporting onboarding activities in accordance with established procedures.
  • Faculty and Staff Process Support:
    • Provides administrative assistance for departmental faculty and staff recruitment, hiring, onboarding, evaluation, and review processes in accordance with established college procedures and under the direction of the department chair or other designated personnel.
    • Compiles, organizes, and maintains confidential departmental review files and related records.
    • Assists with scheduling, communications, document collection, file preparation, and other administrative details associated with these processes.
  • Event and Program Support:
    • Provides administrative and logistical assistance for departmental events, lectures, screenings, guest visits, and special programs, including the Visiting Series in Film and Culture and student-led activities.
    • Assists with scheduling, room reservations, travel arrangements, guest hospitality, publicity materials, and other event-related details.
    • Processes requests for the use of departmental event spaces and communicates routine logistical information to faculty, students, guest speakers, vendors, and campus offices.
    • Performs assigned administrative tasks to support events and programs planned by faculty or other designated departmental personnel.
  • Departmental Financial Support:
    • Provides routine administrative support for departmental financial activities by tracking expenditures, reconciling purchases, maintaining records, and preparing or processing purchase orders, check requests, journal entries, wire transfer requests, payroll stipends, and other financial transactions in accordance with established procedures and required approvals.
    • Assists faculty with compiling and formatting grant-related reports, impact letters, and supporting documentation.
    • Maintains financial records and submits documentation to the appropriate college offices within established timelines.

Collaboration Skills:
Communications regarding interpretation of policies may be made after discussion of different points of view. Work may require providing advice to others outside direct reporting relationships on specific problems or general policies.

Technical Knowledge:
Work requires basic skills and knowledge in approaches and systems.

Minimum Qualifications

  • High School Diploma or GED
  • 4 years of experience in a related field

One year of relevant work experience may be substituted for one year of required education (OR) one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.

Anticipated Hiring Salary Range:

  • $21.17 to $25.18 per hour

Assistant Athletic Trainer

About Us: Colorado College (“CC”) is a private, four-year, highly selective liberal arts college of 2,100 undergraduate students and a small Master of Arts in teaching program. It is located on a 99-acre campus adjacent to downtown, ‘Olympic City’, Colorado Springs. The campus sits on the Front Range of the Rocky Mountains at the foot of Pikes Peak.
