Job Summary

Join a dynamic academic community where you'll play a key role in supporting the faculty, staff, and students who drive the Psychology and Neuroscience and Human Biology and Kinesiology Departments. The Academic Administrative Assistant provides administrative and operational support for the faculty, staff, and students of the Psychology and Neuroscience and Human Biology and Kinesiology Departments, coordinating a variety of departmental business and administrative functions. Organizes official departmental functions. Serves as primary contact and liaison with other college departments, students, and the broader community.

Responsibilities

  • Budget Administration & Financial Support
    • Provides administrative support for the financial operations of the Psychology and Neuroscience and Human Biology and Kinesiology Departments.
    • Oversees departmental operating budgets and endowed and gift funds; processes reimbursements, honoraria, requisitions, purchase orders, student prizes, and research awards; and reconciles purchasing card transactions.
    • Assists Department Chairs in identifying budget needs and preparing budget-related documentation and justifications, while maintaining accurate financial records and supporting departmental fiscal processes.
  • Academic & Departmental Operations Support
    • Facilitates a wide range of departmental operations and academic processes.
    • Collaborates with Department Chairs to coordinate personnel planning activities, visitor appointments, graduation requirement reviews, course schedules, classroom assignments, faculty evaluations, faculty searches, department meetings, and external reviews.
    • Supports faculty in organizing field trips, off-campus teaching activities, and other academic initiatives.
  • Events, Communications & Stakeholder Support
    • Oversees the planning and execution of departmental events and special programs, including endowed lectures, graduation events, majors' meetings, and other academic and community engagement activities.
    • Arranges room reservations, facilities support, catering, transportation, lodging, audiovisual equipment, and other event logistics.
    • Develops and distributes promotional materials and departmental communications and serves as a point of contact for students, faculty, staff, visitors, parents, and community members.
    • Maintains department websites, listservs, and Stellic information to ensure departmental information remains current and accessible.
  • Administrative Services, Records & Resource Administration
    • Maintains departmental records, office files, and personnel documentation while ensuring appropriate confidentiality and record retention practices.
    • Coordinates the purchase and inventory of office supplies, instructional materials, animal colony supplies, and departmental refreshments.
    • Collaborates with campus partners, including the Registrar, Human Resources, Dean's Office, Communications, Events, Field Studies, Finance, Facilities, and Campus Safety, to support departmental operations and administrative processes.

Collaboration Skills:
Communications regarding interpretation of policies may be made after discussion of different points of view. Work may require providing advice to others outside direct reporting relationships on specific problems or general policies.

Technical Knowledge:
Work requires basic skills and knowledge in approaches and systems.

Minimum Qualifications

  • High School Diploma or GED
  • 4 years of experience in a related field

One year of relevant work experience may be substituted for one year of required education (OR) one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.

Anticipated Hiring Salary Range:

  • $21.17 to $25.18 per hour
