Job Summary

Join Colorado College as the Associate Director of College Events and help shape exceptional campus experiences by leading departmental operations, managing complex events and conferences, driving revenue-generating partnerships, and advancing the College’s strategic mission through innovation, collaboration, and operational excellence. This position serves as a member of the leadership team and supports the events team in the absence of the Assistant Vice President, College Events.

Responsibilities

  • Client & Event Management:
    • Serve as the primary point of contact for external clients, collaborating with them to plan, coordinate, and execute conferences and events that meet their objectives.
    • Review and execute RFPs and contracts, screen prospective clients, develop event budgets, and oversee all logistics and services associated with contracted events.
    • Ensure successful event execution by coordinating with campus partners and serving as the liaison to food service, housing, and custodial service providers to maintain quality standards.
  • Leadership & Operational Oversight:
    • Provide leadership for departmental operations, identifying opportunities to improve operational efficiency, service delivery, and cross-functional collaboration.
    • Directly supervise event staff, including hiring, training, and managing temporary employees as needed to support conferences and special events.
  • External Relations & Community Engagement:
    • Cultivate positive relationships with campus and community stakeholders while promoting an environment that values inclusion, respect, and equitable practices.
    • Serve as the department’s liaison to the Colorado Springs Convention and Visitors Bureau and represent the College at regular coordination meetings to support community partnerships and event opportunities.
  • Financial & Revenue Management:
    • Manage an annual budget of approximately $600,000 that supports revenue generation for the College.
    • Develop event budgets with clients, generate and verify invoices, track payments, resolve billing questions, and work closely with leadership to report, collect, and record revenue.
    • Periodically research and assess rates and fees to ensure pricing remains competitive and aligned with peer institutions.

Minimum Qualifications

  • Bachelor’s degree in a related field
  • 5 years of experience in a related field

One year of relevant work experience may be substituted for one year of required education (OR) one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.

Preferred Qualifications

  • Certified meeting planner certification
  • Experience working in event planning in higher education
  • Experience managing operational systems, workflows, or cross-functional teams
  • Experience with Momentus Event & Venue Management Software
  • Results oriented with experience in budget planning and forecasting
  • Strong business acumen
  • Organizational and collaborative skills with keen judgment and attention to detail
  • Excellent written communication skills
  • Ability to establish and maintain positive working relationships with diverse populations and from different cultural backgrounds and to understand and apply antiracism terminology and best practices
  • Knowledge of Microsoft Office suite of software

Anticipated Hiring Salary Range:

  • $58,096 - $69,715 per year
