Job Summary
Provides professional level financial knowledge and skills including monitoring and analysis of all facilities operation and capital budgets.
Responsibilities
· Assist in the development, preparation, monitoring and analysis of the annual operating and capital budgets for Facilities Services.
· Develop and track performance measures, recommend and facilitate changes, and ensure compliance with college accounting and purchasing procedures.
· Ensure the accuracy of all fiscal entries in the project tracking system and reconcile to college accounting software. Manages all deposits, journal entries, recharge feeds, and prepares accurate expense reports for reimbursement requests.
· Assist shop managers in preparing and managing their department operating budgets.
· Review and reallocate budgets as necessary and produce operating budget and project-specific reports to aid in shop manager budget oversight.
· Lead a team of three administrative staff supporting the administration of Facilities Services and Campus Operations.
· Develop management and financial models to test new ideas, projects and processes.
· Complete monthly closing and reconciliation of capital project records and accurate reporting of capital transactions and equipment purchases.
· Assist Facilities Services administration in the development of the annual Renewal and Repair (R&R) program.
Minimum Qualifications
Bachelor’s degree in finance, economics, accounting, business administration or a related field with a minimum of three years of work experience in construction, facilities or education or comparable combination of education and experience; ability to work independently, accurately and with discretion; high level of resourcefulness, diplomacy, integrity and professionalism needed in all aspects of responsibilities; attention to detail and accuracy; excellent verbal and written communication skills; ability to communicate effectively and develop positive relationships with people from different cultural backgrounds; ability to work in a demanding and busy environment; critical thinking skills for providing customer service, solving problems and process improvement; skilled at navigating shifting priorities. Physical requirements include working in a noisy and sometimes dusty environment with some occasional chemical odors that our shops may utilize in their work.
Preferred Qualifications
Experience in higher education facilities organization; experience using Banner or another Oracle based enterprise resource planning (ERP) system; experience in TMA or an alternative computerized maintenance management system (CMMS) platform.
