Job Summary

This position involves managing the business operations of the Anthropology Department, including overseeing faculty, staff, and students. The role ensures the operating integrity and efficiency of the department and serves as the primary contact and liaison between other college departments, students, and the broader community.

Responsibilities

  • Manage, monitor and organize the departmental budget including the operating budget and endowed/gift funds. Prepare and execute reimbursements, honoraria, Summit for student prizes, summer student research, research stipends, and reconcile P-cards for faculty and staff monthly.
  • Assist with providing training, work direction, constructive feedback, and problem-solving for paraprofessionals and student workers, in collaboration with the Department Chair.
  • Organize logistics for and execute departmental events and meetings, including but not limited to lectures, graduation events, facilities reservations and setup, food catering/refreshments, audiovisual equipment, transportation, lodging, meal reservations, event promotion through posters, emails, digest postings, etc. Provide similar support for department sponsored student meetings. Provide directions to the paraprofessional for assistance with these responsibilities.
  • Collaborate with Department Chair in management of forms for personnel planning, year and block visitors, graduation requirement checks, course schedule, catalog of courses, classroom assignments, faculty reviews (third year, tenure, promotion, and senior lecturer), faculty searches, student funding, department meetings and external reviews.
  • Collaborate with faculty to support class field trips.
  • Collaborate with the Registrar, Human Resources, Student Employment, Dean’s Office, Communications, Events, Field Studies, Finance Offices, Facilities, Campus Safety and similar to enable the effective functioning of the department.
  • Promote the anthropology curriculum including serving as a liaison between visitors, students, and the community. Ensure that Stellic, the department website, and similar are correct and up to date. Answer phone and email requests, relay messages, greet visitors, and order supplies.

Minimum Qualifications

  • High school diploma
  • Minimum of four years of general clerical or administrative service experience, which includes one year of experience supporting the day-to-day functions of a program (e.g., developing/improving program operations, event planning, calendaring, inventory control, Microsoft Office Suite).
  • Be willing to learn and develop proficiency in software programs to support the department's operations, curriculum, and outreach (e.g., QuickBooks (or similar), Canva, Cascade CMS, Emma Email Marketing Platform).
  • Skilled in oral and written communication with the ability to write and conduct daily communications
  • Strong communication and interpersonal skills and skilled in collaboration with a variety of individuals
  • Experienced in coordinating multiple projects efficiently with strong organizational and time-management abilities
  • Ability to be self-motivated and proactive learner
  • Possesses a high level of self-direction, attention to detail, able to work independently and execute multiple projects at any given time

Preferred Qualifications

  • Associate degree / some college
  • Background in higher education
  • Having the skills, knowledge and attitudes necessary to effectively interact with and meet the needs of individuals with various cultural backgrounds.

Anticipated Hiring Salary Range:

  • $20.44 to $24.31 per hour
